Lead Stages that
match how you sell

How a lead moves

Five stages, one clear path

Every lead starts at NEW and ends at CONVERTED. The stages in between are yours to name, colour and order.

NEWSystem

Every new lead starts here, from any source.

CONTACTED

The first call or message has been made.

QUALIFIED

Need, budget and timing are confirmed.

UNQUALIFIED

Not a fit right now — kept on record for later.

CONVERTEDSystem

Becomes a contact, company and deal.

The rules

Flexible where it helps,
fixed where it matters

System stages are locked

NEW and CONVERTED cannot be renamed or removed. New leads always start at NEW, and conversion always moves them to CONVERTED.

Order is the funnel order

Move a stage up or down and the funnel, reports and board columns follow the same order.

Add your own stages

Add steps like DEMO SCHEDULED or SITE VISIT. New stages are added just before CONVERTED.

A colour for every stage

Pick a colour per stage so leads are easy to scan on the list, the board and the funnel.

Safe to remove

Remove a stage you no longer need. Leads already in it keep that label until someone edits them, so nothing is lost.

Save once, used everywhere

Press Save Stages and the new list is live across Leads, Funnel & Analytics, workflows and the dialer.

FAQ

Lead Stages, answered

Common questions about setting up and changing stages.

Why can’t I rename NEW or CONVERTED?

They are system stages. New leads always start at NEW and conversion always moves a lead to CONVERTED, so the rest of the CRM can rely on them.

Where does a new stage go?

New stages are added just before CONVERTED. You can then move them up or down with the arrows to put them where they belong.

What happens to leads in a stage I remove?

They keep that stage label until someone edits the lead, so you never lose track of where they were.

Does the order of stages matter?

Yes. The order is the funnel order, and the funnel, reports and board columns all follow it.

Where are my stages used?

In the leads list and board, Funnel & Analytics, workflows and the dialer — all from the same list.
