What this policy covers
This policy explains what SpeedoOne (also written Speedo One) collects when you use our website and our software, why we collect it, who we share it with and what you can ask us to do with it. It covers speedoone.com, the SpeedoOne web application at app.speedoone.com and our desktop and mobile apps.
Where your employer or school subscribes to SpeedoOne, they decide what data goes into the system and how long it is kept. In that case we handle the data on their instructions.
Information we collect
- Account details — name, email address, phone number, role and the organisation you belong to.
- Business records you enter — customers, invoices, ledgers, staff, attendance, students, vehicles, stock and similar records you create in the modules you use.
- Usage data — pages opened, features used, device type, browser, IP address and timestamps, which we use to keep the service reliable and secure.
- Location data — only where you use vehicle tracking or visitor modules, and only from devices you have registered.
- Work Track data — where an organisation enables it, the desktop agent records clock-in and clock-out times, active and idle time, the application in the foreground and, if the administrator switches it on, periodic screenshots.
- Payment details — handled by our payment provider; we store only the result of a transaction, not full card numbers.
How we use it
- To provide the modules your organisation has subscribed to.
- To sign you in, keep accounts secure and prevent misuse.
- To support you when you contact us.
- To send service messages such as renewals, security notices and release notes.
- To improve performance, fix faults and plan new features.
- To meet legal, tax and audit requirements.
We do not sell your data, and we do not use the business records you enter to advertise to you.
Who we share it with
- Your organisation — administrators can see the records and activity within their own account.
- Service providers — hosting, storage, messaging and payment partners who process data on our behalf under contract.
- Messaging platforms — where you connect WhatsApp, email or other channels, messages pass through those providers under their own terms.
- Authorities — where the law requires it.
How long we keep it
We keep account and business records for as long as your subscription is active, and afterwards only as long as the law requires. Captures taken by Work Track are kept for the number of days your administrator sets. On request we delete or export your account data within a reasonable period, unless we must keep it for legal reasons.
How we protect it
Data is encrypted in transit. Access is limited by role, administrators control who can see what, and sign-ins and key actions are logged. No system is perfectly secure, so we also ask you to keep passwords private and to enable the security options available in your account.
Your choices
You can ask us to show you the personal data we hold about you, correct it, delete it or export it. If your organisation controls the account, we will pass your request to them. Write to info@speedotrack.com and we will respond.
Cookies
Our website uses cookies to keep you signed in, remember preferences such as language, and measure how pages are used. You can block cookies in your browser, though parts of the application may stop working.
Changes to this policy
We update this page when the service changes or the law requires it, and we change the date at the top. Continued use of SpeedoOne after an update means you accept the revised policy.
